Hi Dr. Shamsaei, Amanda

Will I be receiving a checklist of some sort listing everything that is necessary for me to prepare for my move such as visa application information and other requirements? I'd like to get the ball rolling in advance as January is no far away. Is it also possible for you to maybe put me in contact with someone that can recommend accommodation?

Regards
Mikyle

Hi Dr. Shamsaei

Will the I-20 form be sent to me or is there anyone that I need to contact to receive it?

[cid:image002.png at 01D6997E.B1D89AE0]

According to the above message that I received after submitting my intent to enroll, is there any documentation that I need to submit regarding sponsorship? I will be on a graduate assistantship so I assume that this will not be necessary? Or do I need to submit proof that I will be on an assistantship? If so, could you provide proof of the assistantship and the contact information of whom I need to send it to?

Regards

Mikyle

Hi Dr. Shamsaei

Thank you very much for your informative responses. I will definitely be confirming my intent to enroll! I have one last concern. Due to the covid lockdown, most of the MS graduate students at UCT have not received feedback on their dissertations - myself included. I have inquired with the mech eng faculty on when to expect feedback on our results. I think it is safe to assume that in order to enroll for the PhD program, I would need to have received feedback and a grading on my MSc? Would it still be possible for me to start in Jan 2021 as I am not sure when we will receive feedback on my MSc dissertation? I do not expect negative feedback on my dissertation, but I would like to know if this delay will cause an issue with my enrollment.

Many thanks

Mikyle

Mikyle,

Please see below:

1. Due to the covid pandemic, international travel is not permitted so I was wondering if this would affect my ability to start in Jan 2021 if the ban is not lifted by then? If I am not allowed to travel, would it be possible to postpone my acceptance to a more suitable term? Yes, but we have to look at it early next year. Funding situation changes year by year.

2. In terms of my relocation, would I be expected to be responsible for the complete cost of my relocation such as flights from South Africa, transportation to the university, temporary accommodation upon arrival (if applicable) etc, or would the university be willing to share this cost with me? Yes, you will be responsible for your travel, etc. However, as soon as semester starts, you will be on payroll.

3. Would the university pay for my visa? No

4. When I land in the US, would I be assisted in regards to travelling to the university or perhaps temporary accommodation if no other accommodation has been arranged by then? Essentially what I am saying is that I don't want to be stranded upon arrival in a new country! There might be some programs from the international office to help for airport pick up, etc. Please contact them. Most students arrange through their future lab mates to help them upon their arrivals.

5. Will someone be willing to assist me in securing accommodation prior to travelling to the US so that things run smoothly upon my arrival? You can send an email to my graduate students to give you recommendations on accommodations and other matters as needed.

6. Out of interest, would my partner be able to be employed by our home country on an F2 visa, but still work from the US? Essentially working remotely. I don’t know the answer to this question.

You are given a unique opportunity to continue your education with graduate assistantship in a reputable program. I know it is not an easy decision considering all the relocation, living away from your home country and so on, but during my time as a graduate student or faculty, at least I haven’t seen anyone regretting the decision to move to the U.S. for a funded PhD program.

Thanks,

NS

Hi Dr Shamsaei

I recently received an email from the graduate school with with a link for me to confirm my intent to enroll. Before confirming my intent, I do have a few questions that I'd like to ask you.

1. Due to the covid pandemic, international travel is not permitted so I was wondering if this would affect my ability to start in Jan 2021 if the ban is not lifted by then? If I am not allowed to travel, would it be possible to postpone my acceptance to a more suitable term?

6. Out of interest, would my partner be able to be employed by our home country on an F2 visa, but still work from the US? Essentially working remotely.

These are all the questions I have for now. There will most likely be other questions in the future. Apologies for the bombardment, but these are things that I need to know as it is a big decision and a lot to consider!

Many thanks

The link was provided by the associate chair for graduate study and I think he uses the same website. You can also have a separate page and add the US-based grades to help them see your performance better.

Thank you for providing this information. I opened up the website and found the table with the equivalent US grades. Is there any way for you to confirm if my grades are actually suitable? I want to book dates for the GRE and now also the TOEFL but the tests are quite costly and I would not want to pay the fees only for my application to be rejected due to my grades.

The way that the grades are calculated in the States and in South Africa are quite different so it is quite tough to find what the equivalent grades are. In South Africa, my GPA was calculated to be 63.3 which takes into account the amount of credits that each course is worth and the grade I obtained. According to the website you provided, this grade is the equivalent to a US B grade. According to your previous email, you stated that a B grade was equivalent to a 3 GPA, but in terms of percentage a 3 GPA is 80-89.9. My percentage GPA should then rank me as D which is 1 GPA.

This is where I am having a bit of confusion. I am sure that the different institutions each have their own way of calculating GPA's and it will be tough to convert grades directly. I just want to be sure before doing anything further.

Do you know how the GPA is typically calculated at your institution? The GPA at the University of Cape Town is calculated differently as compared to the universities in the States.

I have not received any result for my MS as yet. My MS was purely dissertation without coursework and no progress results were given so I am still awaiting grading. In the event that my MS result is good, will that contribute more to the success of my application as compared to my undergrad? I could send you my undergrad transcript to look at it if it will be a deciding factor?

  1. You mentioned that if I apply now, I could start in January however, I checked on the website and the next available starting date is March 2021. Would that be a reasonable time to start assuming that my application is successful?

We don’t have a semester starting in March. Our spring semester starts in January. Please contact graduate school for clarification.

  1. With regards to starting in the spring semester, I read online (on the mech eng FAQ page) that the application must be submitted by 1 September in order to be considered for the assisstantship. Should this be the deadline that I should work towards when booking a date for my GRE?

Most likely, I can push your application in the system if you can have everything taken care of by October.

  1. Is the TOEFL compulsory for me as my degree was completed in English and the University is primarily English as well? The test is quite expensive so if I could avoid this fee, it would be much better. Should I rather contact the faculty in regards to this question?

Yes, I don’t think you will need an English test.

  1. How significant is the GPA requirement for my undergraduate studies in relation to the outcome of my application? Is there a minimum requirement on the undergraduate GPA, or would more focus be on my masters and GRE results?

We typically consider students with a minimum GPA of 3 out of 4.

Thanks,

  3. Is the TOEFL compulsory for me as my degree was completed in English and the University is primarily English as well? The test is quite expensive so if I could avoid this fee, it would be much better. Should I rather contact the faculty in regards to this question?
  4. How significant is the GPA requirement for my undergraduate studies in relation to the outcome of my application? Is there a minimum requirement on the undergraduate GPA, or would more focus be on my masters and GRE results?

Apologies for bombarding you with so many questions.

Regards

Mikyle

I am currently looking into the GRE test, but I am struggling to find information regarding the test dates. I have created an online account at ets.org for the GRE test. Is this the correct portal through which to take the test? Do you have any other tips or pointers?

Hi Dr. Shamsaei

I hope you are keeping well and safe. I am currently in the process of applying to Auburn University. The application process requires 3 letters of recommendation from people that are able to comment on my professional/educational goals. I was wondering if you would be willing to perhaps write me a short letter of recommendation based on my work that you have seen thus far? I think that some sort of recommendation from you would give me my best shot at being accepted into the institution as you have seen my work. Also to be noted, my online application will not be including my masters result as it is still in the grading process, so a recommendation from you might go a long way. Let me know your thoughts.

Kind regards

Mikyle

Hi Mikyle,

It was nice virtually meeting you as well. Please see my response to your questions below:

During our conversation, you mentioned that my partner should consider enrolling at the university. She currently holds a BSc. in Mechanical Engineering (Cum Laude) from the University of Kwa-Zulu Natal. What options would she have if she were interested in applying to the university, and would there potentially be funding available from the relevant department? Maybe there is someone that we could speak to in regards to this?

She can apply to the ME program and contact the faculty of mechanical engineering who do research in her fields of interest. For example, if she is interested in AM or Fatigue, she can contact me for potential funding opportunities.

In regards to visa applications, what type of visa would be considered for me? A quick internet search has informed me that a J2 dependent visa would allow a spouse to work in the US provided that authorisation is granted. Would this be possible?

F1 is the type of visa that you can apply for. J1 is for visiting scholars, for a limited time, and you have to leave the US after your appointment is over.

Lastly, in the unlikely event that I am unable to continue my studies for whatever reason, what would the consequences be? For example, would I be personally liable for the tuition fees that have been sponsored by the department?

No, you won’t have to return the tuition/stipend paid for/to you. Either of us can terminate the advisor/advisee relationship at any time with no penalty.

Thanks,

NS

Good day Dr. Shamsaei

I hope you are well. I was recently notified by my MSc supervisor, Dr. Sarah George from the University of Cape Town, that you were willing to offer me an assistantship within your group at the Auburn University. I am extremely flattered and humbled by your consideration for me to be a part of your group.

I am most definitely interested in this opportunity. Is it possible for you to provide further details as to what the assisstantship would entail? What requirements do I need to meet? Do you have any information in relation to admissions to the institution? Are there any particular research areas that are of interest or am I required to propose a particular research topic?

If there is any additional information that you may want to provide or anything you would like to ask me, please do so. Looking forward to your response.

Yours sincerely

Mikyle Paul
